Position Overview
This role supports the procurement team with daily purchasing, order administration, supplier coordination and inventory documentation to support smooth manufacturing operations. We welcome candidates with limited formal procurement experience who are eager to learn and develop long-term within our purchasing department.
Candidates with backgrounds as Purchasing Assistant, Administrative Assistant, or experience handling office supply procurement are highly encouraged to apply, especially those looking to build a long-term career path within purchasing, procurement and supply chain fields.
Key Responsibilities
- Support end-to-end procurement administrative work via ERP systems (Acumatica), including creating, logging, tracking and filing purchase orders.
- Assist with supplier communication, price record keeping, delivery follow-up and basic supplier performance tracking.
- Collaborate with production, logistics and quality teams to consolidate material demands, follow up on delayed orders and resolve minor supply coordination issues.
- Maintain accurate inventory records, organize procurement documents, sort vendor invoices and reconcile purchasing data in Excel spreadsheets.
- Monitor daily purchasing tasks, prioritize pending work items and follow up on outstanding orders to avoid production delays.
- Compile market price data, supplier quotes and routine procurement reports for purchasing staff’s reference.
- Keep all internal and vendor information strictly confidential.
- Adhere to company internal policies and relevant procurement compliance requirements in all daily work.
Requirements
- No mandatory prior purchasing, procurement or supply chain experience; entry-level candidates are welcome.
- Candidates with experience as Administrative Assistant, Purchasing Assistant, or office supply procurement work are preferred, as well as individuals aiming to pursue career development in purchasing, procurement and supply chain.
- Strong Microsoft Excel skills (intermediate to advanced proficiency required); solid working knowledge of Word and Outlook.
- Capable of independent task prioritization and overall daily work planning to manage multiple concurrent deadlines.
- Quick learner with strong attention to detail, patient and systematic when handling repetitive administrative purchasing work.
- Positive, collaborative mindset, proactive and willing to learn procurement knowledge and grow with the company long-term.
- Comfortable working in a fast-paced team environment with shifting priorities.
- Clear verbal and written communication to coordinate with internal teams, vendors and external contacts.
- Self-motivated, reliable and able to take ownership of assigned daily administrative tasks.
- Adaptable and flexible to adjust workflows based on team and business needs.
- Previous experience using ERP is considered an asset (not required).
